This policy explains what data Wisal Academy collects when you visit the site, contact us or subscribe to one of our tracks; why we collect it; how we contact you; who we share it with; and what rights you have. By using the site or submitting your details in any of its forms, you agree to what is set out here.
1. What we collect
Data you give us
- Name, phone or WhatsApp number, email address, country and city.
- Student details: name, age group, reading and memorisation level, and the programme requested.
- Anything you write in the notes field or send us in conversation.
- Preferences for scheduling, teacher and language.
Data generated by using the service
- Lesson history, attendance, progress reports and teacher assessments.
- Subscription, invoice, payment and refund records.
- Your correspondence and calls with our customer service team.
- Lesson and call recordings where enabled (see section 4).
Data collected automatically
- IP address and the country inferred from it, device type, browser and operating system.
- Pages visited, time on site, and how you reached us (advert, search, link).
- Advertising identifiers and cookies belonging to measurement and advertising platforms.
What we do not collect: we do not collect or store your bank card details. Card data is entered directly with a licensed payment gateway; we receive only the transaction result, the card type and the last four digits.
2. How we contact you
This section matters, so please read it in full. When you submit your details in any form on this site, contact us on WhatsApp, or subscribe to any of our services, you agree that we may contact you through any of the following:
- Direct phone calls from our admissions or customer service team.
- WhatsApp, by text message, voice note or call.
- SMS text messages.
- Email.
- Browser or app notifications, if you enable them.
This covers two kinds of contact:
- Service contact: booking confirmations, lesson reminders, progress reports, invoices, renewal notices and changes to the service. This is part of the service and cannot be switched off while you are subscribed.
- Marketing contact: new offers and plans, new programmes, seasonal campaigns and event invitations. You can opt out at any time by replying STOP to a message, using the unsubscribe link in an email, or writing to the address below.
If you do not complete a booking: if you leave your details but do not take the trial lesson or subscribe, we may contact you to follow up on your enquiry, understand what stopped you and offer help, for a reasonable period of up to twelve months from your last interaction with us. You may ask us to stop at any time and we will do so immediately.
3. How we use your data
We use your data for the purposes below, and will not use it for a materially new purpose without telling you first:
- Delivering the service: scheduling lessons, assigning a suitable teacher, building the memorisation plan, issuing progress reports and certificates.
- Contacting you by the means described in section 2, including following up on incomplete enquiries.
- Processing payments, issuing tax invoices and managing renewals and refunds.
- Customer service and handling your questions and complaints.
- Improving the service: developing the curriculum, measuring parent satisfaction, analysing why students drop off.
- Teacher training and quality control by reviewing samples of lessons and calls.
- Marketing and advertising: sending offers, building custom and lookalike audiences on advertising platforms in hashed form, and measuring campaign performance and conversion attribution.
- Analytics: aggregate reporting on site and programme performance, which does not identify you personally.
- Fraud prevention and protecting accounts and payment methods from misuse.
- Legal compliance: e-invoicing, tax and accounting obligations, and responding to lawful requests.
- Testimonials and case studies: we never publish your name, voice or your child's image in marketing material without separate prior written permission, which you may withdraw later.
4. Lesson and call recording
- Some lessons may be recorded for quality control, teacher training and dispute resolution. The student or parent is notified before recording begins.
- Customer service calls may be recorded for the same purposes, with a notice at the start of the call.
- Recordings are never published or shared outside the responsible team, and are not used in marketing without separate written permission.
- A parent may object to their child's lessons being recorded, and we will honour that without any effect on the service.
5. Who we share with
We do not sell or rent your data. We share it only as far as necessary with these categories of provider:
- Payment gateways, local and international, to process subscriptions, invoices and refunds.
- Video lesson platforms used to deliver live classes.
- Customer and messaging systems, including our WhatsApp Business, SMS and email providers.
- Advertising and measurement platforms such as Meta, TikTok, Snap and Google, to measure campaigns and build audiences.
- Analytics tools used to measure site performance.
- Our accountant or auditor, within what a financial audit requires.
- Authorities, where required by applicable law or court order.
These providers are contractually bound to use the data only for the agreed service.
6. International transfers
Some of the providers we use host data outside your country, including in the European Union and the United States. By using the service you agree to your data being transferred and processed in those countries. We choose providers that commit to recognised data protection safeguards.
7. Cookies and advertising identifiers
- Essential cookies that run the site and remember choices such as language and currency. The site does not work without them.
- Analytics cookies that help us understand and improve how the site is used.
- Advertising cookies that let us measure campaigns and show you our adverts on other platforms after your visit (retargeting).
You can disable cookies in your browser settings, though some site functions may be affected. You can also adjust ad preferences within the advertising platforms themselves.
Advertising measurement pixels
This site runs the Meta Pixel from Meta (Facebook and Instagram), and we may add equivalent tools from TikTok and Snapchat for the same purpose. These record your visits to our pages and your completion of the trial-lesson booking form, so that we can measure how our campaigns perform and reach people interested in our services.
We also read technical tags from the ad link you arrived through (such as utm_source), which identify the platform and campaign, and store them with your request so we know which campaign brought you. These tags contain no personal information about you.
Advanced matching: when you submit the booking form, your name and phone number are converted inside your browser into an irreversible digital fingerprint (a SHA-256 hash) before being sent to the advertising platform. Your details never reach the platform in their original form. The purpose is to link your visit to your account on that platform so the result of an advert can be measured accurately.
How to stop this: adjust ad preferences in your account settings on the platform itself, use tracking-blocker extensions in your browser, or write to us at info@wisalacademy.com to ask that your data not be used for advertising measurement. Opting out does not affect your booking or your lessons.
8. Children's data
- An account for a student under eighteen is created and managed by their parent or guardian, who gives consent to this policy.
- We do not request data directly from children, and all reports and correspondence go to the parent.
- Children's data is never used for any advertising or marketing purpose and is never included in advertising audiences.
- A parent may access, correct or request deletion of their child's data at any time.
9. How long we keep it
- Invoice and subscription records: for the period required by accounting and tax law in our country of registration.
- Contact details and progress reports: for the duration of your subscription and twelve months after it ends.
- Enquiries that did not convert: up to twelve months from the last interaction, then deleted.
- Lesson and call recordings: up to six months, unless subject to an open dispute.
After these periods the data is deleted or anonymised so it no longer identifies you.
10. Your rights
- Request a copy of the data we hold about you.
- Correct any inaccurate or outdated data.
- Request deletion of your data, within what financial and legal obligations allow.
- Withdraw consent to marketing contact at any time, with no effect on your service.
- Object to lesson recording or to your data being used in advertising audiences.
- Complain to the data protection authority in your country if our response does not satisfy you.
To exercise any of these rights, write to info@wisalacademy.com and we will respond within seven working days.
11. Security
We use an encrypted connection on the site, limit access to student data to those in the teaching and administrative team who need it, and review access rights regularly. No system is entirely secure, but we commit to notifying you and the relevant authority within seventy-two hours of any breach affecting your data.
12. Changes and contact
We may update this policy whenever our services or applicable law change, and the date of the last update is shown at the top of this page. Material changes — particularly any new purpose for using your data — will be notified to your registered email or number before they take effect.
